Instruction manual for Paper Submission
Please submit your manuscript from the submission site following the steps below.
Information regarding the login ID and password for the above submission site will be included in an email titled "ICSJ2025 Paper Submission Site Now Open (xxxx)" to be sent in early August.
If you are the author who have NOT received the e-mail, ask the program chair to resend the mail.
STEP1: Submit your manuscript
(Deadline: Sep. 4, 2025)
1) Authors of the accepted abstracts are requested to submit full manuscript in a PDF file, which should be fully compliant to IEEE manuscript format.
MS-Word template for the ICSJ2025 proceeding (IEEE format compliant) is available.

- Authors should confirm the type of their presentation (Regular, ECR, or Invited) to be made at the ICSJ2025.
Then, find the appropriate length of the manuscript in the following table.
Length of the manuscript:Regular session speakers 4 pages ECR session presenters 2 pages Invited speakers 2 to 4 pages
- Regardless of the presentation type, the manuscript should be compliant to IEEE format (Double-Column format), including short abstract (35 words), figures, tables, and references.
- All the manuscripts must be written in English.
- The title of the paper, names and affiliations of all authors, including complete mailing addresses, telephone, fax numbers and email addresses must appear on the first page of the paper, as well as the 35-word abstract and three keywords.
- Since the hardcopies of the proceedings are not printed in the ICSJ2024, the authors can include colored figures in their manuscript (no need to convert to monochrome figures.)
2) After writing your manuscript, upload a Word or PDF file to the IEEE PDF eXpress site; if you upload a Word file, it will be converted to a PDF file, and if you upload a PDF file, it will be checked for compliance with the IEEE form.
All the fonts should be embedded.
You must create an account for IEEE PDF eXpress in advance.
(If you have created an IEEE PDF eXpress account at a previous conference, you can log in using your ID and password from that time and the conference ID below.)

3) In order to submit your uploaded file to the conference, please don't forget to click on the "Approve" button in the "Action" list on the IEEE PDF eXpress site.
The "Status" should change from "Pass" to "Approved".
4) You can resubmit your manuscript until the deadline. There is no need to delete your previously submitted manuscript.
If you miss the deadline, your paper will NOT be published in the proceeding and listed in the IEEE PDF Xplore.
STEP2: Update the Author information for Copyright Transfer
(Deadline: Sep. 4, 2025)
1) After submitting the manuscript via IEEE PDF eXpress, please update the paper information which are "the paper title" and "author(s) name(s)". This information will be used for the copyright transfer process.
2) Double check whether all the information is correct.
STEP3: Copyright Submission
(Deadline: Sep. 4, 2025)
After completing "STEP2," submit your copyright transfer form via eCF site.
Error message
** Important notice **
- You only need to submit the eCF once. Even if you resubmit your manuscript or change the title of your presentation, you do not need to resubmit the eCF.
- If you miss the deadline, your paper will NOT be published in the proceeding and listed in the IEEE PDF Xplore.
STEP4: Update the Proceeding Submission Status
(Deadline: Sep. 4, 2025)
After completing "STEP1" to "STEP3," update the proceeding submission status.
If you are 35 years old or younger on the day of submission, check "Yes" to show that you are eligible to receive "Young Researcher Award."
The 1st author of Regular session papers are eligible to receive the Young Researcher Award.
STEP5: Upload the presentation slide PDF file (Oral session speakers only)
(Deadline: Nov. 10, 2025)
Regular session speakers and Invited speakers are requested to participate in "Authors' Interview" for another 15 minutes after the oral session. In the "Authors' interview," the hardcopies of the presentation slides are put on a board dedicated to each speaker, in the same manner as general poster sessions to have more detailed discussions with the attendees.
Upload the slide material (PDF) from the submission site. Then, ICSJ2025 secretariat prepares the hardcopies on the board.
(ECR session presenters should NOT upload Poster Files from the submission site.)

Instruction about poster presentations at ECR sessions
Poster size and format
The posters themselves have no predefined formatting. The authors of ECR Poster papers are encouraged to include a draft or sketch of the poster layout and content in their submission to show that the poster format is being used effectively. Authors of accepted papers are requested to bring an explanatory HARDCOPY poster for display at the ECR session during IEEE ICSJ2025. The posters dimensions should not exceed A0 paper size (841mm x 1189mm / 33.1" x 46.8"). Only PORTRAIT FORMAT is acceptable. Authors should be present at their poster to discuss their work during the scheduled ECR session.
ECR session awards
The ICSJ2025 committee will present the ECR Session Award to the PRIMARY authors in the ECR session according to the voting results by the conference participants. Winner(s) will receive a signed certificate.
Issue date of the proceedings
The authors should be aware that the issue date of the proceedings is November 10, 2025.
(The proceedings of ICSJ2025 will be ready for download from November 10 to November 17, 2025.)
Author Policies
Withdrawal Policy
Authors whose abstracts are accepted will then be requested to submit your manuscript. (The submission deadline is scheduled for September 4, 2025.) If the authors fail to submit a final manuscript or withdraw the paper without a valid reason, we will consider this as misconduct by the author(s).
Authors who commit multiple such offenses will be placed on the IEEE Prohibited Authors List and barred from participating in all IEEE publications.
No-show Policy
Any accepted paper included in the Advance or Final Program is expected to have at least one author attend and present the paper at the conference.
Authors of the accepted papers included in the Advance or Final Program who do not attend the conference will be listed in a "No Show List", compiled by ICSJ. Any "no-show" paper will be noted as "Author unavailable for presentation" and will not be included in IEEE Xplore.
